What is a Returns Processing Automation?

A returned item touches several systems in sequence: the return request needs to be validated against a policy (is it within the return window, is the reason covered), a shipping label needs to be generated, the warehouse needs to be notified to expect the item, and once it's received and inspected, a refund or replacement needs to be issued. Handled manually, this creates delay and inconsistency — one customer service rep might apply the policy more leniently than another, and any single missed handoff between systems stalls the whole return. Automating this flow means the policy check, label generation, inventory update, and refund trigger all happen as one connected sequence, with a human only pulled in for the edge cases a rule engine can't confidently resolve — a return outside the window, a damaged-item dispute, a high-value item. AI adds judgment to the automated path itself: a model can read a customer's stated reason for return and route ambiguous cases to a human reviewer rather than either auto-approving everything or escalating everything. Because refunds move real money, this automation needs the same transactional and idempotent handling as any billing system — a return should never be double-refunded because a retry fired twice.
